1. Who is responsible for your data
Tracker is operated by [your full legal name or company name], who decides what is stored and why. You can reach us about privacy at [privacy contact email].
2. What we collect
To make the bot work we store a small amount of information:
- Discord identifiers — your user ID, and the server and channel IDs where commands are used.
- Command usage — which commands were run, when, and by whom, so features like stats, timers and cooldowns work.
- Links you set up — [confirm: e.g. the geocaching username you link with /link], and any stats or trackables you choose to save or share.
- Discaching content — virtual caches you hide, logs you write, and images you upload.
- Support messages — anything you send us when asking for help.
- [add or remove items so this list matches what the bot really stores]
3. What we do not collect
- We do not read or store the contents of ordinary conversations in your server. [confirm this is accurate for message-content access the bot uses]
- We do not ask for your Discord password, your Geocaching.com password, or payment details. [confirm, or state what payment data a store/paid tier would involve]
4. Why we use it
- to run the commands and features you ask for;
- to keep server settings and saved stats between sessions;
- to prevent abuse, spam and rate-limit abuse;
- to fix bugs and understand which features are used;
- [add anything else, e.g. leaderboards, announcements, analytics]
5. Legal basis
If you are in the UK or EU, we rely on [legitimate interests / consent / contract — pick what actually applies] to process the data described above.
6. Where it is stored and for how long
Data is stored with [hosting or database provider, and country]. We keep command data for [retention period, e.g. 12 months], and Discaching content until you delete it or the server removes the bot.
[confirm these periods — "forever" is a valid answer, but it should be stated]
7. Who else sees it
We do not sell your data. It is shared only with the services the bot depends on:
- Discord — messages and commands pass through Discord’s platform.
- Project-GC — used to generate stat bars and badge bars. [confirm whether a username or profile is sent]
- top.gg — where the bot is listed and reviewed.
- [hosting provider, error tracking, analytics — add or delete]
8. Your choices and rights
You can ask us what we hold about you, ask for a copy, ask us to correct it, or ask us to delete it. The quickest route is [the command that deletes your data, e.g. /delete my data], or email [privacy contact email]. We aim to respond within [e.g. 30 days].
Removing the bot from a server stops new data being collected there, but does not automatically delete what was already stored.
9. Cookies and this website
This website [does not use cookies or analytics / uses the following analytics tool]. The Discord bot itself runs on Discord and does not set cookies in your browser.
10. Children
Tracker is not intended for anyone below the minimum age for using Discord in their country. If you believe a child has used the bot and you would like their data removed, contact [privacy contact email].
11. Changes to this policy
If this policy changes, we update the date at the top of the page. Significant changes will be announced in the support server.
12. Contact
Email [privacy contact email] or join the support server.
